  • 2022-23 Approved Auditor Code of Conduct and A Guide to Clinical Coding Audit Best Practice Documents - Now Available

    Dear Colleague

    The Clinical Coding Audit section on the Publication and Resources page has now been updated to include the 2022-23 Approved Auditor Code of Conduct and A Guide to Clinical Coding Audit Best Practice documents. These documents have been updated to reflect new working practices such as remote working / clinical coding audits.

    New documents for this year are a Glossary of Clinical Coding Audit Types and Auditor Competency Framework in different formats.

    As we continue to redevelop the CCAP Assessment Day and Clinical Coding Audit Workshop based on feedback from the Clinical Coding Auditor Sub-Groups and the wider coding service, an updated version of the CCAP Handbook will not be available until January 2023 ready for 2023-24.

  • 2022/23 Classifications Training Schedule

    Dear colleague,

    The past two years have brought changes to the way we live and work, with many working from home or moving to a hybrid working model for the foreseeable future or on a permanent basis.

    In a very short period of time, we have adapted our classifications training materials and courses to provide different delivery options, where feasible.  However, we now need to review all our materials, as in some cases the format has not changed in a number of years, and dedicate more time to develop our training courses to reflect changing work practice and user needs.

    For this reason, our focus for 2022/23 will be to adopt a user-centred design approach to drive the development process and reap the benefits of blended learning solutions, where appropriate, such as:

    • flexibility in presenting content
    • increasing effectiveness by providing different learning experiences
    • reducing costs for employee and trainer by hosting live events online
    • bringing efficiencies in delivery by accessing more people
    • catering for different learning styles through different media and techniques
    • accommodating new ways of working and maintaining high quality of materials / courses

    This means that our training delivery schedule will be reduced to enable the proposed re-design.  The schedule for 2022/23 will comprise the following:

    The online booking forms for the above events will be available on Delen from 1 April 2022.

    We will deliver Approved Clinical Coding Auditor and Trainer Forums, with these events scheduled towards the end of the financial year, so that we can communicate in advance to approved clinical coding auditors and trainers all the changes made to the CCAP and CCTP frameworks and to the national training materials during this dedicated development year. In addition, we will provide informative webinars covering the changes to the CCAP/CCTP frameworks to clinical coding managers via the Clinical Coding Manager workspace. All changes will be effective from 1 April 2023.

    We fully acknowledge that this will inevitably cause disappointment and delay for those accredited clinical coders wishing to apply/re-apply for the CCAP and CCTP during 2022/23. However, as we work towards a more streamlined application process, criteria, and blended learning solutions, we consider it beneficial for potential applicants to wait until these new processes are in place, rather than to train people in the current frameworks when these will change from 1 April 2023.

    For approved clinical coding trainers requiring refresher training, our plan is to work with them to redevelop and redesign the Trainer Refresher Course with the aim of starting ‘afresh’ from 1 April 2023. We would like to reassure all approved trainers that their ‘approved’ status will not be affected during this transition phase.

    The redevelopment work we have planned to support new ways of working includes:

    • developing new and improved frameworks for the Clinical Coding Auditor Programme (CCAP) and Clinical Coding Trainer Programme (CCTP)
      • seeking to automate the CCAP and CCTP application processes and introducing an element of online assessment
      • signposting to dedicated clinical coding audit report writing and presentation skills training to CCAP applicants
      • extending the modules within the current Auditor eAssessment
      • refreshing the whole content of the Clinical Coding Audit Workshop
      • assessing how well the Auditor Competency Framework (which defines the skills and behaviours required by trainee and approved clinical coding auditors), supports clinical coders, auditors, and managers
      • restructuring the Train the Trainer Course into three modules without increasing the overall delivery time, with elements delivered both remotely and face-to-face, reducing the time spent in the classroom from five days to three
      • updating the Trainer Refresher Course
      • developing eLearning tools, videos, and interactive presentations to make framework requirements clearer and easier to understand
    • Developing various eAssessments to support clinical coders as they progress their career from novice clinical coder through to specialised roles such as approved clinical coding trainer
    • Developing the Clinical Coding Standards Course content into a blended learning format
    • Developing some of the Introduction to Classifications content into eLearning format.

    We are working with members of our Sub-Groups to ensure that the new frameworks and associated products will be clearer, and more user-centred in future, and plan to publish regular updates on our progress throughout 2022/23. We will ask for input and feedback via various consultations, feedback polls and discussion forums.

    The decision to significantly reduce the 2022/23 Classifications training schedule was not taken lightly. The pandemic has forced new ways of working upon us sooner than expected and we need to devote time to assess, consult and develop our framework and training materials to accommodate this.

    Our ultimate goal is to provide you with improved and more user-centre designed events and products in the future.

  • 2021-2022 Classifications Training Schedule

    The Terminology and Classifications Delivery Service is pleased to confirm that our 2021-22 Training Schedule which features a combination of both classroom and online delivery is now available on Delen. The training schedule covers the following events

    CCAP Assessment Day

    CCAP Auditor Workshop

    CCTP Train the Trainer Course (and associated Introduction to Classifications training)

    CCTP Trainer Refresher Course

    CCTP Trainer Forum

    Please access the Clinical Coding Auditor Programme and / or the Clinical Coding Trainer Programme via the hyperlinks above for more information.

    In order to better manage the flow of applications, we are introducing a phased application system this year on the following basis:

    • From Monday 25 January 2021 – CCAP and CCTP Assessment Day applications
    • From Monday 1 February 2021 – applications for the above two events, plus Trainer Refresher Course and Trainer Forum bookings

    Please note that the ongoing social distancing measures in place due to COVID-19 may impact on our ability to deliver the full schedule as planned so we will constantly monitor the situation and publish appropriate updates throughout the ongoing pandemic.

    Important information

    • Following cancellation of the Clinical Coding Auditor Programme (CCAP) and Clinical Coding Trainer Programme (CCTP) Assessment Days in 2020-21 due to the COVID-19 pandemic, all people who successfully applied for the 2020-21 Assessment Days are being carried over to 2021-22, without needing to re-apply. This means that there are only 4 places available on the CCAP Assessment Day and 10 places available on the CCTP Assessment Day. Places will be allocated on a ‘first come, first served’ basis to those applicants who successfully submit complete application documentation.

    Applications for any of the original applicants now overdue their Clinical Coding Standards Refresher Course (CCSRC) training will still stand; however, you are advised to book onto a course as soon as possible in 2021/22. For information about trainers who have our permission to deliver CCSRC training remotely, please contact information.standards@nhs.net.

    CCAP and CCTP Assessment Day applicants must refer to the current CCAP and CCTP Handbooks (2020/21) available on Delen whilst initially preparing their Assessment Day applications. 

    The 2021-22 Handbooks will be released on Delen on 1 April 2021 and candidates will then need to refer to the updated Handbooks when preparing / studying for the Assessment Day itself, although it is anticipated that any changes to their content will be minimal.

    We have contingency events in Birmingham planned for the Auditor Workshop and Train the Trainer Course depending on the number of applicants who meet the Assessment Day criteria. The dates will be published if we need to activate these courses.

    • According to our records, 55 approved trainers are due to attend a Trainer Refresher (TR) course in 2021-22. We will deliver four online TR courses, each with a maximum of 11 places. We plan to reserve these 44 places for those trainers whose Refresher course is due before October 2021. Any trainer whose course is due after October 2021, will be carried over to 2022-23. Please contact standards@nhs.net if you are unsure about when your Trainer Refresher Course is next due.

    Please also note that we are unable to hold Re-Certification assessments as part of the online TR delivery during 2021-22 because we recommend that Re-Certification assessments are undertaken in a classroom environment, wherever possible. If you are due a Re-Certification assessment, please contact TAP Learning to discuss possible options. The training team will publish further advice on this in the February Trainer Bulletin.

    • The mandatory Trainer Forums will be trialled as online events and applications will be managed online.
    • The Train the Trainer Course now features an online ‘Introduction to Classifications (ITC)’ module delivered over four sessions. Successful CCTP applicants must also ensure they keep the online ITC dates free in their calendars once published later this year. Please note: We plan to deliver these events during February or March 2022.
    • We have scheduled the CCAP / CCTP Assessment Days, Auditor Workshop and Train the Trainer as ‘classroom only’ events. We have considered the possibility of, and in some cases trialled, alternative facilitation methods, but due to the nature of these events, this is not possible without compromising their integrity and effectiveness.
    • As mentioned above, COVID-19 may affect our ability to deliver the full schedule as planned and we will constantly monitor government guidelines and restrictions and publish appropriate updates throughout the ongoing pandemic.

  • 2020/21 Classifications Training Schedule Update (June 2020)

    Dear colleague,

    Following on from our previous update published on Delen in March 2020, and recognising that we won’t be able to compress a full year’s delivery schedule into six months, we have agreed the following updates to our 2020/21 training schedule, all of which will remain subject to possible revision based on government guidance and social distancing restrictions due to the COVID-19 pandemic.

    Trainer Refresher Course and associated Re-Certification assessments (TR1a/TR1b/TR1c) – rescheduled from May 2020 15-17 September 2020 London – venue TBC

    The five ‘Introduction to Classifications’ events for trainers are planned to go ahead during September and November – approved trainers should refer to the Approved Trainer Workspace for further information.

    Regrettably, we will have to cancel the Clinical Coding Auditor and Clinical Coding Trainer Programme Assessment Days and associated courses for this financial year as we have to remain vigilant and mindful about the potential social distancing logistics hosting these programmes would cause due to the high number of applicants involved. We appreciate that cancelling these two programmes is not ideal and will be a huge disappointment to those candidates who had submitted successful applications. We will however automatically carry over the successful applications to 2021/22 and advise candidates to liaise with their finance departments to close the existing Purchase Order (PO) numbers for this year. New POs will need to be raised next year.

    Our records show that 80% of UK Trusts currently have at least one approved auditor, trainer, or both in post so we are confident that cancelling the programmes for one year will not prove too detrimental to organisations, given the exceptional circumstances. We will, of course, give due consideration as to how we can potentially avoid compromising anyone eligible to apply in 2021/22.

    We will post further updates as and when required and always in line with the latest government guidance and social distancing criteria.

  • Clinical Coding Auditor & Trainer Programme Frameworks Service Improvement consultation

    Dear colleague,

    We have issued the following Clinical Coding Auditor & Trainer Programme Frameworks Service Improvement consultation which describes how elements of the Clinical Coding Auditor Programme (CCAP) and Clinical Coding Trainer Programme (CCTP) frameworks can be adapted/expanded to make the requirements frameworks more robust. Many of the suggestions have already been discussed with, and in some cases suggested by, existing approved clinical coding auditors and trainers.

  • 2020-21 Classifications Training Schedule

    Dear Colleague,

    Following the national NHS and government guidance on the outbreak of the coronavirus (COVID-19) we have reviewed our training delivery schedule to ensure that we align with national guidance and operate in the best interests of the wider community.  This has led to a decision to postpone the following events/courses on our 2020/21 Training Schedule:

    • Trainer Refresher Course (TR1) in London on 12-14 May 2020 and any associated Re-Certification assessments
    • CCAP Assessment Day in Leeds on 20 May 2020
    • CCTP Assessment Day in Leeds on 10 June 2020

    We realise that this will be a huge disappointment but hope you agree it is important to adhere to the national recommendations to reduce the spread of coronavirus.  As more information emerges we may need to consider postponing other courses or reschedule but will monitor the situation and publish updates accordingly.

    Candidates already accepted on to the CCAP or CCTP Assessment Days will not have to re-apply as your applications and Purchase Order / other payment details will automatically be carried across to any rescheduled date. Similarly those trainers who have booked on to the May Trainer Refresher Course will not have to send in a further booking form or payment information as these will automatically carry across to any rescheduled date.

    Some approved clinical coding trainers are due or overdue their Trainer Refresher Course and/or their Re-Certification assessment which will be affected by this decision.  Some approved trainers may have to cancel national training courses as a result of the coronavirus guidance, self-isolation or social distancing.  This could impact on your ability to meet the 21 day mandatory training delivery requirement during 2020/21. As this situation is beyond our control, no-one will have their ‘approved’ clinical coding trainer status removed due to either of these circumstances.

  • Draft 2020/21 Training Schedule

    We are pleased to announce this draft training schedule of planned dates only for our 2020/21 training events. This draft has been published to allow you to provisionally book potential dates in your diaries.

    Please note that the final training schedule confirming venues and prices will be published on Delen at the end of January 2020 and the dates outlined below may be subject to change depending on logistical considerations.

    Important information

    • Due to a very low number of expressions of interest on our Early Notification List (only eight), we currently have no plans to hold a Clinical Coding Trainer Programme (CCTP) Assessment Day in 2020/21. However, should demand increase to 12 or more expressions of interest between now and mid-January, we will reconsider this decision. The consequent time released will allow us to concentrate on revamping the new modular Clinical Coding Audit Workshop ready for April 2021 and on ICD-11 evaluation.
    • Candidates wishing to apply for the 2020/21 Clinical Coding Auditor Programme (CCAP) are advised to review Sections 2, 3, 4 and 5 of the 2019/20 Clinical Coding Auditor Programme Handbook until the new version of the handbook and application documents are available at the end of January. Please note that no applications will be accepted until the final training schedule is published and anyone on our Early Notification List will be advised of dates at least one week before publication.
    • We’ve received feedback that key points about the underlying principles of classifications need to be strengthened in our training materials. The Terminology and Classifications Delivery Service and Getting It Right First Time (GIRFT) propose to work collaboratively to develop a new pre-Clinical Coding Standards Course (CCSC) classroom module entitled ‘Introduction to Classifications’. Subject to completion of this work dates for this training will be published on the final training schedule at the end of January 2020. All approved clinical coding trainers are required to attend this one-day training event which will replace the usual mandatory Trainer Forum for one year only. Attendance will be free of charge and all attendees will be given access to the materials to deliver to CCSC delegates from 1 April 2021 and to experienced coders where considered to be beneficial in the interim. These materials will be built into the national training materials costs to commercial trainers from 2020/21.

    • Review of our training records confirms that only two Trainer Refresher Courses are needed in 2020/21 with six trainers requiring Re-Certification assessment; several trainers are however overdue their Re-Certification assessment.   • Update relating to Digital Learning Solutions registration problems
